    Spring semester Temp Services can start on 1/2/23.

    Spring Semester Work-Study starts 1/13/23.

    Work-Study students being hired or participating in training prior to 8/26, must have VP Approval to be paid with Temp Services for the time period between 8/18-8/25.

    Once VP Approval is received, please submit 2 referrals: one for temp services & then one for work-study starting on 8/26 (please include a note that the student is switching from temp services to ws on 8/26).

    Once approved and the Student Employment Referral has been submitted, student employees are authorized to work for the full academic year.

    Hiring students beyond the academic year for the summer requires an additional Student Employment Referral (and may require VP Approval).

    At this time VP Approval is required for funding student employee positions with temp services. Please submit and allow for time to receive a response.

    If you are only "re-hiring" a student(s) who worked for your dept. during the previous year/semester, then the job does not need to be reposted.

    If you are hiring a student(s) who has never worked in your department before, the job must be posted in Handshake and applicants considered before you hire. This process ensures that supervisors get a variety of applicants and are allowing for equal opportunity.

    Students must be enrolled for fall classes to be considered students and thus be employed as student employees.

    A Student Employment Referral is the notification to Student Employment and Payroll that a student has been hired by a supervisor. It contains specific information for each student and is used to process the student and create the student employee's timesheet.

    An automatic email will be sent to the student employee directing them to complete new hire paperwork (if they have never worked on-campus).

    Students that have never worked on-campus before must complete new hire paperwork (I-9, W-4, NYS IT-2104, NYS Oath, Direct Deposit) before their first day of work. Student Employment - Career Services will work with the student to complete this and provide a green slip receipt to the student to show you they completed the necessary documents.

    Supervisors must certify the hours students submit on their timesheets every other Friday. Not certifying timesheets on time results in a minimum of an extra two-week delay in a student's paycheck.

    It is the supervisor's responsibility to ensure that student employees are not working during class time.

    Notify Payroll and Student Employment of students no longer working for you so that we can end their commitment to the SUNY Time & Attendance System.
